Job Overview: This vacancy is for the position of a Real Estate Administrator with Property Management experience in Sharjah Real Estate market. The position is for newly established Real Estate Division of a prominent local group, with multiple business interests across the UAE. The Employee will be responsible for handling all Administrative matters relating to New Rentals and Tenancy Renewals of the Landlord’s property portfolio, and will also handle Tenant maintenance requests for further delegation to Facilities Management.
Responsibilities and Duties: - Meet Tenants in Office to sign the Tenancy Contract, collect Payments and other relevant documents to execute the Rental. - Enter all relevant Tenancy information in CRM system or Excel sheet. - Ensure all mandatory documents such as Passport Copy, Emirates ID, Residence visa are collected from Tenants. - For properties directly handled by the company send Tenancy Renewal notice to Tenants prior to expiry of Tenancy contract as per company policy. - For units managed by Property Management Companies (PMC), ensure units are renewed on a timely basis and relevant documents are sent upon each renewal. - Work closely with the Property Manager to finalize Rental rates and accordingly communicate with the Tenant. - Draft new Tenancy contract for new Rentals and Renewals as per standard company format. - Prepare Ejari/Government contract for all properties in the portfolio. - Prepare Tenant Check Out Report and forward to Accounts department for processing. - Coordinate with FM team to complete maintenance works in a vacated apartment to prepare it for New Rental. - Maintain all Tenancy files with Tenant and Tenancy details in physical and cloud files. - Follow company Policies & Procedures relating to Rentals, Renewals, Cheque Bounce etc. - Follow up with Tenant for all delayed payments and bounced cheques as per company policy. - Prepare documents for filing Legal case and forward to Property Manager for further processing with Legal department. - Provide Administrative support to Property Manager for executing new Rentals. - Record all Tenant maintenance requests and delegate to FM Team. - Escalate all non-standard Tenancy and Maintenance matters to Property Manager for further dealings. - Manage the Open/Close status of Maintenance complaints and follow up with Maintenance team for pending jobs. - Contact Tenants on Random basis to check Tenants satisfaction levels after completion of a Maintenance Job.
Essential requirements: - Fluency in Written and Spoken Arabic & English - Should have worked in a Property Management Role in Sharjah - Must be familiar with drafting Tenancy Contracts for Sharjah properties and completing government registration. - Must be familiar with Sharjah Real Estate Tenancy Laws & Procedures - Work will primarily be based in Sharjah, however as per business requirement working from Dubai office may also be required. - Transportation and UAE Driving License is a must.
Compensation: - Aed 4000 to Aed 5000 depending on candidate experience - Health Insurance - Annual Leave as per UAE Labor Law - Annual Ticket allowance to Home Country
