• Work under the direct supervision of the Leasing
• Maintain professional relationship with the Tenant
• Administrative Documentation
• With Internal Interaction with Mall Manager, Mall
Secretary, PRO, Accounts
• Updating of Tenant Directory
• Issuance of Required NOC as instructed
• Maintaining a record of the daily footfall of the Mall
• Once a month or as needed Mall Visit

Specific Duties and Responsibilities:
Stage 1 – from Offer Letter to Signing the First Tenancy Agreement:
• Assisting the Leasing Manager in preparing the
proposal if requested and needed
• Forwarding advance payment to Accounts
• Printing of the Reviewed Tenancy Contract for the
signature of the Lessee
• Collecting all required documents such as Trade
License / Passport Copy
• Collecting back the Signed tenancy Contract from the
• Collecting the balance payments
• Oracle Entry in a Draft Mode
• Updating the AutoCAD Operator for the new lease

Stage 2 – from Shop Handover to Shop Opening
• Scheduling the Handover Date of the Shop
• Informing the Tenant the procedure in submission of
• Collecting the Drawings
• Explaining the Documents required before the issuance
of NOC to Fitout
• Assisting in obtaining the drawing approval from the
Project Manager and Leasing Director
• Applying of CAR Policy
• Issuing of NOC to start the fit out
• Monitoring the work progress of the shop
• Scheduling the Shop Inspection prior to the opening of
the Shop
• Issuing of NOC to open
• Collecting the as built drawing

Stage 3 – from First Day of Trading till the Expiry of the Contract
• Preparing the amendment of the Contract if needed for
• Collecting and maintaining a valid Trade License,
Passport Copy and Shop Insurance

Turn Over Rent
• Collecting Monthly Sales Report if needed
• Oracle Entry except Coin Collection
• Sending Invoice to those tenant under Percentage Rent
as needed
• Following up the monthly payment
Returned Cheques
• Sending to Tenant the Notice prepared by Accounts
• Following up the replacement or payment of the
returned cheque

Renewal of Tenancy Contract
• Preparing Tenant Master Data for Rental Review of the
• Preparing and issuing timely renewal reminder in
accordance to the approved new rates
• Following up the Tenant Confirmation of Renewal
• Preparing the New Tenancy Agreement for checking of
the Leasing Manager
• Following up the New Rental Cheques
• Coordinating with the PRO for Arabic Contract
• Facilitating the signing of the Tenancy Contract
• Oracle Entry
• Following up the registered Municipality Contract
• Following up the Annual Audited Sales Report

Cancellation / Termination of the Tenancy Contract
• Preparing and sending Cancellation / Termination Letter
as instructed
• Issuing of NOC to vacate after the confirmation of the
Accounts Department
• Instructing the Tenant to handover the shop in a shell
and core condition or as instructed
• Securing the Clearances Required like Municipality,
Sewerage , DEWA, FEWA
• Processing the Tenancy Clearance within the
• Updating the auto cad operator for the cancelled lease

Legal Case
• Recommending the unresolved issues to the Leasing
Manager for further Legal Action
• Preparing needed documents as advised by the Legal
